Admin/HR Manager Full Time

A Lagos-based architecture and design firm is looking to hire a highly organized and proactive Admin & HR Manager to oversee the heartbeat of our design-firm operations. You will bridge the gap between creative talent and business efficiency, ensuring our office runs smoothly and our team remains motivated. This role requires someone who can juggle the logistical complexities of a design-build firm—like managing site staff and vendor relations—while maintaining a structured corporate environment.

Key Responsibilities

Human Resources Management

• Talent Acquisition: Lead recruitment for specialized roles (Architects, Interior Designers, Project Managers, and Site Supervisors).
• Onboarding & Culture: Manage the end-to-end onboarding process and foster a collaborative, creative office culture.
• Performance Tracking: Implement KPIs and performance reviews tailored to both creative and technical staff.
• Compliance: Ensure all HR practices align with Nigerian Labour Laws and manage employee records/documentation.

Administrative & Operations Oversight

• Facility Management: Maintain the design studio and showroom, ensuring a premium environment for clients and staff.
• Vendor & Supply Chain: Manage relationships with subcontractors and material suppliers, ensuring timely service and competitive pricing.
• Fleet & Logistics: Oversee the scheduling and maintenance of company vehicles and logistics for site visits/deliveries.
• Procurement: Manage office supplies and assist the sourcing team with the administrative side of sourcing project materials.

Financial Administration

• Payroll: Manage monthly payroll processing, including tax (PAYE), Pension, and NHF remittances.
• Petty Cash: Supervise the disbursement and reconciliation of petty cash for office and minor site expenses.

Requirements

• Experience & Leadership: 5+ years in HR/Admin roles, preferably within Real Estate, Construction, or Creative industries. We are looking for a candidate who demonstrates proactive ownership and the operational mindset required to run a company effectively.
• Structure & Systems: A specialist who is very interested in structure and has a proven track record of building, implementing, and maintaining organizational systems that drive efficiency.
• Professionalism: Must possess a commanding professional presence with a deep commitment to discretion and confidentiality when handling sensitive firm and client data.
• Reliability: High levels of accountability and reliability; you are the “anchor” of the firm who ensures tasks are seen through to completion without supervision.
• Communication & Soft Skills: Strong communication skills are essential. You must be a “people person” who maintains a calm, polished demeanor while navigating the adaptability required in a fast-paced, high-pressure design-build environment.
• Education: BSc/HND in Business Administration, Human Resources, or a related field. Professional certification (e.g., CIPM, PHRi, or NIM) is a major plus.
• Lagos Market Knowledge: A solid grasp of the Lagos market, including local vendors, logistics, and labor practices unique to the Nigerian construction and design landscape.
• Tech Savvy: Proficiency in Microsoft Office (Excel is a must) and familiarity with HRIS or Project Management tools (e.g., Asana, Monday.com, or Slack).
